Part-Time Office Manager Position

Gateway Wellness Associates (GWA) is seeking a Part-Time Office Manager for 15+ hours a week (schedule flexible and hours negotiable). This position offers a competitive hourly salary. Benefits are not provided.

Primary tasks include:

  • Serving as the point of contact for all tenants, and fielding tenant questions and concerns (both in the office and when on-call offsite)

  • Invoicing tenants monthly

  • Coordinating with vendors providing services to GWA

  • Writing and sending out the monthly tenant newsletter

  • Answering the business line phone and assisting callers with their questions and needs

  • Answering calls from potential clients, and conducting phone screenings to determine if GWA services will be an appropriate fit for their needs or if referrals need to be provided

  • Maintaining a tidy office environment and retrieving the mail

  • Updating and maintaining GWA’s website as needed

  • Serving as a point of contact between tenants and the building owners

  • Finding potential new tenants, giving them a tour of the suite and conducting an informal interview with them, obtaining signed contracts from new tenants, conducting their office orientation and being their point of contact for on-boarding

  • Assisting with all aspects of planning for and setting up training events

  • Implementing internal and external marketing and outreach efforts

  • Conducting program evaluations on GWA’s programs and services

  • Assisting with the development of new programs and services

  • Conducting research on various aspects of running a business

  • Attending weekly supervision meetings with Founder and CEO of GWA, Casey Limmer, LCSW

  • Attending monthly staff meetings, held on one Wednesday per month from 10:00-11:00 AM

  • Completing other tasks as assigned

Qualifications

  • Bachelor’s degree

  • Basic website building and management skills

  • Excellent computer skills

  • Excellent interpersonal skills

  • Experience or coursework in office management preferred

  • Highly organized

  • Ability to be flexible and adaptive in a fast-paced environment

  • Ability to work well within a team and also excel in independent work
